Migration and governance to a structured self-service content platform

Challenge

  • Legacy workflows caused bottlenecks, resulting in an over-reliance on the in-house Creative Studio simple requests.

  • Inconsistent adherence to brand guidelines in previously decentralised content creation.

Solution

  • Designed a scalabe template system for the self-service tool, reducing repeat requests

  • Structured content rules: Embedded brand guidelines into modular templates (e.g. digital wayfinding screens) to ensure compliance.

  • Change management: Led workshops and created documentation to onboard regional teams and external suppliers.

  • Workflow architecture: Consolidated request processes on Monday.com, aligning Creative Studio and vendors.

Outcome

  • 77.8% decrease in redundant Creative Studio requests (measuring Jan–Apr 2023 vs 2024).

  • Faster turnaround for localised content, reducing approval time by 5 days.

  • Scalable foundation: Template types expanded from invitations to print and digital signage and email banners.

  • Implemented Frence, Traditional Chinese and Simplified Chinese language variants, system now supports 4 regions and their respective cross-functional teams.
